Chemistree Solutions Limited (company number 5689586) (“Chemistree”) is committed to protecting the privacy of our candidates, clients and users of our website. We want to provide a safe and secure user experience. We will ensure that the information you submit to us via our website or through any of our offices is only used for the purposes set out in this policy.

This Privacy Policy explains how Chemistree collects personal data from you via our website, manually, electronically, or in any manner expressly described in this Policy, the types of data we gather, how this information is used, and how to contact us to correct, change or access your personal data, or to raise an enquiry or complaint. When we collect or when you provide us with your personal data in the manner described, you consent to the processing of all such personal data as set out in this Policy. This Policy describes the procedures that we have in place to safeguard your privacy.

Chemistree only collects personal data that is necessary for its business functions or services (described below). Unless required by law, we do not use or disclose your personal data for any new purpose without your consent.

The Legal Basis for Collecting Personal Data

Where we disclose your personal data to a prospective client Chemistree will use “Consent” as the most appropriate lawful bases for the collection of personal data. We will always ask for your permission before sharing your information with prospective clients.

Where we collect personal data automatically eg; when you visit our site, when you send your CV directly or via a CV Job Board or CV Database or when we collect information about you from perspective clients (for example by way of feedback on your application) we will use “Legitimate Interests” for collecting that information. Consent

When you provide us with your personal data you consent to the use of that information as set out in this Privacy Policy. The latest version of our Privacy Policy, incorporating all subsequent changes, is available via hyperlink on the home page of our company website (www.chemistreesolutions.co.uk) which enables us to keep you aware of the information we are collecting and how it is being used at all times.


1. The Information We Collect and How We Use It?

Chemistree is a professional pharmaceutical and healthcare recruitment company. You may provide us with a copy of your CV, a cover letter or email or other such documentation containing your personal data. This information is held, used and disclosed by us as follows:

  1. To provide our services to you.
  2. To maintain our business relationship, where you are a user of our website, a client, a candidate or employee.
  3. To enable you to submit your CV for general applications, to apply for specific jobs or to subscribe to our job alerts. Please see the separate section on your CV below which outlines additional uses and disclosures;
  4. To match your details with job vacancies, to assist us in finding a position that is most suitable for you and to send your personal data (including sensitive personal information) to clients in order to apply for jobs.
  5. To answer your enquiries.
  6. To direct-market products and services, advise you of news and industry updates, events, promotions and competitions, reports and other information. Where we do so, you will be able to unsubscribe from such communications.
  7. To fulfil contractual obligations with you and with our clients.
  8. To trusted third parties where we have retained them to provide services that you or our clients have requested, such as reference, qualification and criminal reference checking services (as required), verification of the details you have provided from third party sources, psychometric evaluations or skills tests. These third parties comply with similar and equally stringent undertakings of privacy and confidentiality as Chemistree.
  9. To third parties who perform functions on our behalf and who also provide services to us, such as professional advisors, IT consultants carrying out testing and development work on our business technology systems, and research and mailing houses. These third parties comply with similar undertakings of privacy and confidentiality as Chemistree.
  10. If Chemistree or its business merges with or is acquired by another business or company, we may share personal data with the new owners of the business or company and their advisors and if this happens, you will be sent notice of such event.
  11. We may also release personal data to regulatory or law enforcement agencies, if they require us to do so. We will also disclose your information where we are permitted and requested to do so by law.
  12. We may also seek your consent to collect, hold, use and disclose your personal data for any other purpose not listed above.
  13. Our website may also use a website recording service which can record mouse clicks, mouse movements, page scrolling and any text keyed into website forms. Data collected by this service is used to improve our website usability. The information collected is stored and is used for aggregated and statistical reporting, and is not shared with anybody else.

2. Information we receive from other sources

We work closely with third parties including sub-contractors in technical, accounts, human resources, advertising networks, search consultants. We will notify you when we receive information about you from them and the purposes for which we intend to use that information.

Where you give us permission to apply for a vacancy advertised by a prospective client on your behalf, we may receive that client’s opinions and feedback on your application. This may include, for example, feedback on your CV or any interview you attend which may be provided to us over the telephone or via email.

We may be required to carry out right to work checks, fraud protection, criminal background checks and credit checks. In performing these checks we may receive information from external third party search providers assisting us with these checks.


3. How long do we keep the information for?

If we cannot find a suitable role for you upon your initial application, we may retain your application data and will contact you in the future if a suitable vacancy arises. We maintain this information to ensure we offer you suitable roles and will keep such information for as long as necessary to fulfil the purposes we collected it for.

To determine the appropriate retention period for personal data, we consider the amount, nature, and sensitivity of the personal data, the likelihood of a suitable role arising where you are applying for a job, the potential risk of harm from unauthorised use or disclosure of your personal data, the purposes for which we process your personal data and whether we can achieve those purposes through other means, and the applicable legal requirements.


4. Job Alerts

To subscribe to job alerts emails, you will be required to provide your e-mail address. This e-mail address will be used for the purpose of keeping you informed, by e-mail, of the latest jobs and/or will provide you with industry news. Should you decide that you no longer wish to receive this information, unsubscribe links are provided in every job alert email that you receive.


5. Curriculum vitae ("CV")

We give you the option of submitting your CV via our website or by providing your CV to one of our consultants. You can do this to apply for a specific advertised job or to be considered by our recruitment consultants for future positions.

Your CV will be stored in the Chemistree database, and will be accessible by Chemistree recruitment consultants.

You can update your CV at any time. You can do this via our website using the same method that you used to apply or through one of our recruitment consultants.

Your old CV will be archived providing the submission details match with previous applications (e.g. surname and email address) or you advise a recruitment consultant of your new submission.


6. Aggregate Information about Chemistree online visitors

We gather information and statistics collectively about all visitors to our website (e.g which area user’s access most frequently and which services users access the most). We only use such data in the aggregate form. This information helps us determine what is most beneficial for our users and how we can continually improve our online services to create a better overall experience for our users. We may also undertake marketing profiling to help us identify services or jobs which may be of interest to you.


7. Your Rights

You have the following rights in connection with your personal data held by us:

13. Security of your Personal Data

Chemistree takes reasonable and appropriate technical and organisational measures to secure your personal data. We have implemented security policies, rules and technical measures to protect the personal data that we have under our control. The security measures are designed to prevent unauthorised access, improper use or disclosure, unauthorised modification and unlawful destruction or accidental loss. Our internal procedures cover the storage, retention, access and disclosure of your information.

Our employees are trained in-line with and required to adhere to the principles of the applicable Data Protection laws in the UK. Chemistree makes reasonable endeavours to ensure that all employees comply with the terms of this Privacy Policy. The personal data which Chemistree holds is never modified or disclosed to a third party other than as described in this policy. We continually monitor measures which seek to ensure the security and confidentiality of the information that we collect, and its proper use.


14. Where we store your personal data?

All Personal Data is held on a Database in a Recruitment Customer Relationship Management software system. This software is hosted in the cloud by a third party – Influence Ltd. Influence hosts the software in a secure data centre and they are responsible for the backup procedures and maintenance of the database. Influence Ltd use third parties to provide network infrastructure, application server hosting and maintenance services.

Unfortunately, the transmission of information via the internet is not completely secure. Although we will do our best to protect your personal data, we cannot guarantee the security of your data transmitted to us by you; any transmission is at your own risk. Once we have received your information, we will use strict procedures and security features to try to prevent unauthorised access.


15. Changes to our Privacy Policy

This privacy policy may be changed by Chemistree at any time. If we change our privacy policy in the future, we will advise you of changes or updates to our privacy policy by a prominent notice on our website. Continued use of this website or our services after such changes will constitute your acceptance of such changes.
